Privacy Policy

AIconsult-it Pty Ltd, ABN 56 701 523 186 ("we", "us", "our"), respects your privacy. This policy explains what personal information we collect through our website, our mobile app and our services, how we use it, and your choices. We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth), which we comply with voluntarily.

What we collect

Cookies, analytics and advertising tags. Google Analytics 4 uses cookies and online identifiers in your browser to recognise a returning visit, and sends this usage information to Google. We also use Google Tag Manager, which lets us run Google Ads and conversion-measurement tags on this site, so we can tell whether a visit followed one of our ads and may show our ads to people who have visited. We use this information to understand and improve the site and our marketing, not to identify you, and we do not sell it. Google handles it under its own privacy terms. You can opt out with the Google Analytics opt-out add-on, manage ad personalisation in your Google Ads settings, or block cookies in your browser settings. Vercel Web Analytics counts page views without using cookies.

How we use it

Who we share it with

We do not sell or rent your personal information. We use a small number of service providers to run our website, app and services, and we only share what is necessary for them to perform their service: Vercel (website and app hosting, and website page-view analytics), Google (website analytics, advertising and conversion tags, and the fonts used on this site), Supabase (database and file storage, hosted in Sydney), Resend (email delivery), Microsoft 365 (our mailboxes), Twilio (our phone line), Anthropic (the AI behind our website assistant and phone line), Stripe (card payments for our training sessions — we never see or store your card details) and Expo and Apple (mobile notifications).

Overseas disclosure

Some of these providers store or process data outside Australia, mainly in the United States: Vercel, Google, Resend, Twilio, Anthropic, Stripe, Expo and Apple. Our database and file storage are hosted in Sydney by Supabase, a United States company whose support staff may access systems from overseas. Where we disclose personal information overseas we take reasonable steps under Australian Privacy Principle 8 to ensure it is handled in line with this policy.

Our live training sessions

Our training sessions are live online group sessions and they are recorded, so that everyone who books a seat can watch the replay afterwards. If you attend, anything you say, type in the chat, or show on a shared screen may be part of that recording and may be seen by other people who booked the same session. You can attend with your camera and microphone off, and you do not have to share your screen. If you would rather not appear in the recording at all, tell us before the session starts. When you book we collect your name, email address, phone number, business name and what you want to get out of the session, so we can run the session and send you the joining link, the replay and the take-home files.

Storage, security & retention

We take reasonable steps to protect your information from misuse, loss and unauthorised access. Enquiry details are kept while we are dealing with your enquiry and for up to 2 years afterwards. Project records, tickets and attachments are kept for 7 years as business records, then deleted or de-identified. Recordings and transcripts of calls to our business line are kept for 12 months. If we become aware of a data breach likely to cause serious harm, we will notify the people affected and the Office of the Australian Information Commissioner.

Your choices & complaints

You can ask us to access, correct or delete the personal information we hold about you, or ask a question about this policy, by emailing adam@aiconsult-it.ai. We respond within 30 days. If you are not satisfied with our response you may contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

The AIconsult-it mobile app

This section applies to the AIconsult-it iOS app, an internal tool for authorised AIconsult-it team members. It is not open to public sign-up; accounts are created and approved by us.

What we collect. Your name, email address and an internal user identifier when you sign in. Content you create in the app — tickets, comments, notes, and any photos, documents or voice recordings you attach to a project — together with the identity of the person who created it. If you enable notifications, a push token for your device and the date it was last used.

Permissions. The app requests access to photos, the microphone and notifications. Each is optional and used only for the feature that requests it. The app does not use your device's location services and does not read your contacts.

No tracking in the app. The app itself contains no advertising, no analytics and no third-party tracking, and we do not sell or share personal information from it with data brokers. Our website is different: it uses the analytics and advertising tools described under "What we collect" above.

Client and caller information shown in the app. The app displays information our business already holds — client and enquirer names, business names, email addresses, phone numbers, website chat conversations, recordings and transcripts of calls to our business line, and project records. This is collected by our phone line and website, not by the app. Callers are told that calls to our line may be recorded and transcribed; transcripts are visible only to authorised staff and are not used to train any AI model.

Where it is stored. Our database and file storage are hosted in Sydney, Australia by Supabase. Push tokens are handled by Expo (United States) and Apple to deliver notifications. Our phone line uses Twilio and our website assistant uses Anthropic; both run on their own systems in the United States, not in the app.

Retention. Account details are kept while your account is active and deleted within 30 days of it being closed. Project content, tickets and attachments are kept for 7 years as business records. Push tokens are deleted when the app is uninstalled or after 90 days of inactivity. Call recordings and transcripts are kept for 12 months.

Access and deletion. The app has no self-service sign-up or in-app account deletion. Email adam@aiconsult-it.ai to access, correct or delete your personal information, or to have your account and its personal details removed; we respond within 30 days. Accounts are also closed when a person leaves.

This section is effective from 5 September 2026.

Changes

We may update this policy from time to time. The "last updated" date above shows when it last changed.
